Requirements

Excellent organizational and communication skills; ability to self-initiate and execute with minimal supervision; ability to work at multiple levels in a fast-paced environment, ability to set a positive and friendly tone

Technology skills

Comprehensive knowledge of Microsoft Office Suite, ability to troubleshoot technology, knowledge of Filemaker Pro, Constant Contact & Adobe Creative Suite a plus, must be willing to learn and use emerging technology

Description

The Office Manager reports to the Director of Operations.   S/he works closely with all administrators and coordinates with the Head of School, the Directors of the Nest, the Lower and Upper Schools, Development, and Admissions.  The Office Manager supervises the secretary.
Broadly stated, the Office Manager is responsible for the administrative functions that support the daily life of the school.  This position requires evening and weekend commitments, as well as early mornings from time to time.

Key Result Areas

Guiding the Administrative Team

  • Guide, mentor, and train the secretary
  • Set agendas and run weekly meetings to coordinate administration
  • Coordinate office coverage with Secretary & Director of Admissions
  • Maintain Databases with Parent/Student/Staff/Emergency contact info
  • Produce Directories for staff and school families
  • Interface with students, parents, and neighborhood community for admin matters
  • Organize, coordinate, publish and distribute calendar for school
  • Write and distribute school newsletters on a weekly basis
  • Work closely with Communications Coordinator to streamline and simplify communication to parents and the community
  • Enforce brand integrity with the style guide, logos, forms and permissions
  • Analyze systems and work flows.  Recommend and implement improvements.
  • Organize and maintain all school files, archives, etc.
  • Oversee special projects with people who have an administrative mandate
  • With administrative team, develop systems to manage inventories, materials and supplies.  Ensure office supplies are always stocked and ready for use.

Events

  • Coordinate administrative aspect of regular events (Parent Student Evenings, Open Houses, Back to School Nights, etc.)
  • Support all school celebrations (Las Posadas, Passover, wax museum, etc.)
  • Update and maintain event procedures book
  • Coordinate volunteers

Building and Maintenance

  • Manage vendors such as subcontracted cleaning company
  • Ensure building is clean, organized and in good working order for school each day 
  • Keep list of needs, repairs, etc. and assign projects to appropriate parties.
  • Organize summer work projects with contractors and parent volunteers

Technology

  • Maintain electronic files and filing system
  • Maintain list of school-wide hardware and software needs
  • Keep list of repairs and needs, and assign projects 
  • Work with internal users and external technology consultants 
  • Consider ways to eliminate double entry of data wherever possible
